Treelance.ai — Privacy Policy

1) Introduction

Welcome to Treelance.ai ("Treelance", "we", "us"). Treelance is an AI-powered talent coordination service that connects energy professionals with recruiters through Telegram and WhatsApp, email verification, AI-assisted matching, and introductions by email. Your privacy matters. This Privacy Policy explains how we collect, use, share, and protect your personal information.

2) Data We Collect

Treelance collects personal data directly from you and from documents you provide, including:

A) Information you provide

• Full name
• Email address
• Phone number (Telegram and/or WhatsApp)
• Role type (Candidate or Recruiter — this choice is permanent)
• Professional information shared during onboarding or conversation (availability, rate expectations, work rights, mobility preferences, skills, certifications)
• Any other information you choose to provide

B) CV and attachments

• CV/resume files (PDF preferred)
• Professional certifications and work samples
• Portfolio links or supporting documents

Treelance uses AI to extract structured data from your CV, including: name, contact details, skills, certifications, work history, education, languages, and availability signals. You review and confirm all extracted data before your profile is activated.

C) LinkedIn profile information (optional)

• LinkedIn profile URL
• Public profile information (headline, job history, education, skills)

LinkedIn data is supplementary. Providing a LinkedIn URL is optional and is not required to use the Service.

D) Verification and compliance documents

For certain opportunities or jurisdictions, we may request passport/ID and visa or work authorisation proof. We do not intentionally collect sensitive personal data (e.g., racial/ethnic origin, political opinions, religious beliefs).

3) Marketing Communications

By sharing your email address and/or phone number with Treelance, you may receive:

• Service updates and role recommendations
• Monthly availability check-ins (Candidates)
• Product announcements

You can opt out at any time: by email using the unsubscribe link, or on Telegram/WhatsApp by replying STOP.

4) Legal Bases for Processing (GDPR)

Treelance processes your personal data under the following legal bases:

• Consent (Article 6(1)(a)): Marketing communications, sharing contact details with matches after double opt-in.
• Contract performance (Article 6(1)(b)): Maintaining profiles for service delivery, providing matching and introduction services.
• Legitimate interests (Article 6(1)(f)): Service improvement and analytics, platform security, abuse prevention, fraud detection.
• Legal obligation (Article 6(1)(c)): Compliance with applicable laws and regulations.

5) How We Use Your Data

We use the personal data collected to:

• Verify user identity (email verification, recruiter domain validation)
• Build a structured professional profile from your CV and conversational data
• Facilitate matching between Candidates and Recruiters using AI-assisted scoring
• Send introductions by email when both sides have consented (double opt-in)
• Send periodic follow-ups to Candidates to confirm availability status
• Improve service quality, matching accuracy, and abuse prevention
• Send service updates and role recommendations (opt-out available)

6) Data Sharing

A) Introductions and matching

Your profile information is shared with potential matches only in the context of a specific role, and only after the double opt-in process. Your email address is shared only inside the introduction email after both parties have consented. No contact details are shared through Telegram or WhatsApp messages.

B) Service providers / processors

We may share data with vendors that help operate Treelance (e.g., hosting, database, messaging, email delivery, AI processing), under confidentiality and data protection obligations.

C) AI processors

Treelance uses third-party AI providers to process chat messages, parse CVs, extract structured profiles, and assist with matching. These providers process data under their own terms and privacy policies. Treelance ensures all AI processors meet adequate data protection standards. All AI-assisted matching decisions are human-reviewable.

D) No sale of personal data

We do not sell your personal data to third parties.

7) Data Retention

We retain personal data for the following periods unless law requires longer:

• Profile and matching data: Retained while your account is active and up to 2 years after deletion request or inactivity.
• Communication records: Retained up to 3 years for service improvement and support.
• Marketing preferences: Retained until you opt out, then removed within 30 days.
• Legal compliance data: Retained as required by applicable law.
• Verification documents (passport/visa): Retained only as long as necessary for verification and compliance purposes.

8) Data Deletion and Anonymisation

To delete or anonymise your data, contact: privacy@treelance.ai. We will process deletion requests within 30 days, subject to legal retention obligations. Where applicable, we will also request removal of your data from third-party processors.

9) Security Measures

We implement appropriate technical and organisational security measures to protect your data against unauthorised access, disclosure, alteration, or destruction. These include:

• Encryption in transit
• Access controls and role-based permissions
• Audit logging
• Vendor security assessments

10) Data Breaches

If a personal data breach poses a high risk to your rights and freedoms, we will notify you without undue delay and provide: nature of the breach, likely consequences, and measures taken or proposed.

12) Consent Withdrawal

You may withdraw consent at any time:

• Marketing: Unsubscribe by email or reply STOP on Telegram/WhatsApp
• Matching: Contact privacy@treelance.ai to deactivate your profile
• Full deletion: Request account deletion via privacy@treelance.ai

Withdrawal does not affect processing that occurred before withdrawal.

13) Changes to This Policy

We may update this Privacy Policy. Material changes will be communicated at least 30 days in advance via email or messaging channel. Continued use after changes constitutes acceptance.
